Terms and Conditions

1. Booking and Payment:

  • Confirmation: Your booking is confirmed upon receipt of a non-refundable deposit of 30% of the total trip cost.
  • Balance: The remaining balance is due 60 days before the trip departure date.
  • Late Bookings: Bookings made within 60 days of departure require full payment at the time of booking.

Payment Methods:

  • Bank Transfer (preferred)
  • Credit Cards (Visa, Mastercard) – 4% surcharge applies
  • Cash Payments (major currencies: USD, EUR, GBP)

2. Cancellation and Refunds:

By Client:

  • More than 60 days before departure: Loss of deposit.
  • 31-60 days before departure: 50% of the total trip cost charged.
  • Less than 30 days before departure: 100% of total trip cost charged.

By Alpine Luxury Treks:

  • Due to unforeseen circumstances (natural disasters, political unrest, etc.), we may offer a full refund or an alternative trip at our discretion.
  • Due to insufficient numbers: Full refund or alternative trip offered.
  • No refunds: For unused portions of the trip, a voluntary departure from the trip, or for downgrades to lower-priced accommodations/services.

3. Travel Insurance:

  • Mandatory: All clients must have comprehensive travel insurance covering medical emergencies, trip cancellation/interruption, baggage loss/delay, and personal liability. Proof of insurance must be provided before trip departure.

4. Itinerary Changes:

  • Flexibility: While we strive to adhere to the planned itinerary, we reserve the right to make changes due to unforeseen circumstances beyond our control (e.g., weather, natural disasters, flight cancellations, road conditions, local regulations).
  • No refunds: No refunds will be issued for itinerary changes due to reasons beyond our control. However, we will make reasonable efforts to provide comparable alternatives where possible.

5. Client Responsibility:

  • Fitness and Health: Clients must be in good physical condition for the chosen trek and must disclose any pre-existing medical conditions or health concerns. Alpine Luxury Treks reserves the right to refuse participation if a client’s health is deemed unsuitable for the trek.
  • Behavior: Clients are expected to respect local customs, traditions, and the environment, and to follow the instructions of the trek leader and guides.
  • Documents: Clients are responsible for obtaining necessary visas, vaccinations, and travel documents (passport with at least 6 months validity remaining).

6. Liability:

  • Limited Liability: Alpine Luxury Treks acts solely as an agent for the various independent suppliers that provide services (transportation, accommodations, etc.). We are not liable for any injury, loss, damage, delay, or additional expenses incurred due to the actions or omissions of these suppliers, or due to events beyond our control (force majeure).
  • Client Responsibility: Clients participate in the trek at their own risk and are responsible for their own safety.

7. Disputes:

  • Resolution: Any disputes arising from these terms and conditions will be resolved through amicable negotiations. If a resolution cannot be reached, the dispute shall be subject to the exclusive jurisdiction of the courts in Kathmandu, Nepal.

8. Acceptance:

  • By booking: You acknowledge that you have read, understood, and agreed to these terms and conditions.
